Invoice management

  • The account manager contacts Anders Bruce-Purchase coordinator, who orders. If the purchase exceeds 20.000 SEK , the head of the department must approve. 
  •  If it is a VISA-purchase with the departments VISA-card, Peter Möller will help you.
  • When your purchase has arrived you'll get an e-mail saying that you have an invoice in LUPIN. Either click on the link in the e-mail or go directly to the link, http://www.proceedo.net/, to see your invoice. 
  • If it is your first time logging in, you will get an envelope with your password. If you have forgotten your password, just click on the 'Forgot my password?' -link and you will get a new password to your mail-box. Your username is your mail address e.g. name.surname@cs.lth.se.
  • In LUPIN, you will see to your right how many invoices you have. Click on invoices and you will see you invoice. Click on the invoice and go to the 'Accounting' tab, here you will need to fill out cost centre, account (for an abbreviated account scheme click here), operational category, activity and description. When filling in the description you will need to state the following things: purpose (e.g. the name of the conference), what (e.g. train city A - city B, or conference fee, or a book) & your initials. 
  • If you have an invoice for a lunch-meeting or something similar, you will need to either attach a file to the invoice, you'll do this by clicking on 'Attach file...' in the somewhat lower right corner and the click on 'Add...', or add a comment by clicking on 'Enter comment...' in the somewhat lower right corner. This file or comment should contain the people who participated, you'll need to have names, workplace and city.
  • Don't forget to check the actual invoice so that it is correct, you should see the invoice to your right in another window or you can click on 'show invoice' in the lower left corner. If you click on it, it will zoom in on it & just double-click to go back.
  • If you have filled everything out, click on 'Accept the invoice' in the lower right corner & press 'OK'.
  • If the invoice is not yours, click on 'Choose another reviewer' in the lower right corner, and the click on 'Reviewer' in the lower left corner and choose the right recipient & then click on 'OK' in the lower right corner.
